I work at a business that rents equipment to film productions.  From 
time to time I check with another business (not a competitor) 
regarding leads they may have for upcoming productions.  This is done 
on the telephone.  What we need is a template where each of us can 
fill in info (production company, phone no., contacts, etc) and get it 
to each other quickly.  We both work at computers so I want something 
that is fast, re-usable, and notifys us when the info arrives. What 
should we use?  email? IM? message boards? groups?  Thanks!

Hello gmbrickley,

I came up with a solution for you which should not cost you anything,
unless the two of you have over 50 tips (for each other) per month. In
that case the pricing would be roughly $10 a month which would allow
you to have up to 500 tips per month. (Pricing information is

After reading your problem, I decided that filling out a form for
every lead would probably be the quickest and most organized way to do
this. After either of you fills out the form, the results will be
emailed to both of you, organized the same way every time.

I am assuming you do not have your own website, and even if you do,
this solution might be easier to get running.

Here are the actual instructions: 

1) Click on this link http://www.formsite.com/index.html 
2) Click on the “New Users – Join Here” link
3) Enter in a Username, good password and your email address. For
directory name put something like “headsup” or “lead”. Finally, click
on Free Membership and click Save.
4) That’s it! You are now a member. Click on “Create Your First Form”.
5) Give the Form a name, something like “Leads Form”. “Do Not Use A
Template” should already be selected. Click “Submit”.
6) Click on “Add After” and click “3) Short Answer (Text Field)”.
Click Select
7) Where it says Question, put “Production Company:” For Identifier,
put “prod_comp” (just a one word abbreviated version of the Question).
For the options, you will generally want to keep them the same for all
of your questions. Same Line as Previous Item should generally be set
to “no”, Response required should be set to “no” (in case you will not
have the information for a specific lead), Question Position should be
Left, text field display width should be 50 with no maximum character.
Display result should be set to “as Email.” (this is important because
you want the results to be included in the email that will be
automatically generated). Click on “Submit”.
8) Click on the identifier you just created to the left, and click
“Add After” (this will add a new field after the one you just made.
Follow Steps 6 and 7 again, and set up a field for “Phone Number”,
“Contacts”, “Address”, “Other”. As many fields as you want! Remember
they don’t all have to be filled in every time.
9) When you are done and the form looks like you want it too, click on
“My Forms” at the very top.
10) Click on “Email”.
11) Type in your exact email address, then a comma, then a space with
the other persons email address. It should look something like this:
youremail@isp.com, theiremail@theirisp.com  Daily Summary Email
Address can be left blank. Click on Save. Click on Return to My Forms.
12) Back in the “My Forms” section, click on “Publish/HTML”. Do you
see where it says shows an http://fs.... Link at the top? Copy that
and email it to the other business. Whenever either of you have a tip
for the other, all you have to do is fill out the form, and an email
will be automatically generated and sent to each other. This service
is free as long as there are no more than 50 tips per month.
13) Best of all, you can always change things around, add additional
email addresses, additional spots, additional forms etc.

As results are received, both of you should be printing them out or
saving them using "File... Save As" in Internet Explorer.

Results are saved on the website in case the email addresses are not
working. With the free account, the limit is 10 completed forms, after
which they have to be deleted. It is quite easy to delete these so
that the new forms completed will be saved.

To delete results - Go to http://www.formsite.com type in your
username and password and click “Log In”. Click Go To My Forms. Click
Results. Click Delete Results. Click Delete All Results. If you
upgrade to the $9.95 plan per month, they will save up to 500 of the
results for you.

I hope this was the type of solution that you were looking for. It is
the best idea I was able to come up with after reading your question.

I forgot to mention that if both of you bookmark the form in Internet
Explorer (under Favorites), it will be very easy and convenient to use
this system once it is set up.
