Question ID: 206741
How can I email documents as attachments (not in the email body) using
a mail merge in Word XP (under Windows XP)? My email client is Outlook
XP.
If Microsoft Word does not offer this option, is there a plugging or
software that allows to do this for less than 50$?

Hello elfynet!
You don't need any plugins, Microsoft Word XP has an option that does
the trick. It's very easy to do it, but it needs Outlook XP (not
Outlook Express) to be installed.

In Microsoft Word, go to Tools - Mail Merge Wizard. Here you will find
step by step instructions for merging mail. First of all, in "Document
type" you should select "email message". Then click Next.

In step 2, you get to select the document you want to mail. You can
either uses the current document or select another one. Once you've
done this, click Next.

In step 3, you have to choose the concacts you're sending the mail to.
It has an option of using your Outlook address book.

In step 4, you're able to to add contact information to each mail. For
example, greeting lines with different names or address information
for each of your contacts.

In step 5, you may preview each of the mails that are going to be
sent,m and you can further customize each one.

Step 6 is the important one. When you choose to send your message, you
will get a dialog box asking you the subject of the messages and other
options. One of these options is "Mail format". If you want to send
the emails as attachments rather than in the email body, you have to
choose "Attached data" in the Mail Format list. This will do what tou
want to do. Afterwards, just click OK.

Now, depending on how your Outlook is configured it may not send the
emails immediatley. Go to Outlook and check it. If the emails are
still in your Outbox, just click Send and Receive.

I hope this explanation was clear enough. If you have any further
questions regarding my answer, please request a clarification before
rating it. I'll be more than happy to provide more information on this
subject.

Best wishes!

I know of this possibility. What I want to do is to be able to send a
message in the body of the email and to add different attachments to
this message.

I'm very sorry, I didn't understand that from your question. I've been
searching the web and I wasn't able to find a Microsoft Word plugin
that allows you to do this. However, I did a program that does it. The
only problem is that it costs $59 to register.

WorldMerge

In order to send a different file to each of the recipients, you will
need to use one of the fields in your Outlook XP contacts to define
the path and name of the file you want to send to each contact. Then,
export your Outlook contacts to a Comma delimited DOS file (using
Import and Export in the File menu). Finally, in Worldmerge, click
File - New, choose the comma delimited file, and follow the
instructions. When you're done, clicking on the clip icon will ask you
if you want to attach the same file to everyone, or a different one;
if you choose the "different" option you will be asked for the field
where the path and filename are stored, and that's it. If you have any
trouble using this software, please let me know so I can further help
you.

I understand that you were looking for a cheaper solution, but I
wasn't able to find one. My answering this question comes from the
confusion about what you needed. If the link I offered is not
acceptable, please let me know so I can request the Google Answers
editors to remove my answer and respost your question at no cost for
you.

Bes regards,
