The labelling function is not working correctly. One page Avery and
other labels spill over to a second page. I've tried adjusting the
standard document template - this does not solve the misfunction. Can
anyone help ? |

For a problem such as this, the most likely culprit is a difference
between the printer's non-printable areas, and the non-printable areas
recognized by Word (as supplied to it by the printer driver).
Adjusting the document template can often fix this, but the best thing
to do is to start with your printer's manual, look up the
non-printable areas, and ensure that the margins used by both Word and
the printer driver are at least as large as the non-printable areas.

Thanks for considering this, but the incorrect spillover of labels to
the next page is visible in the Word window before the print
instruction is given, so that it applies to both printers (Canon S520
and HP LaserJet IIIp) I use. I had no trouble with this with either
printer before switching to XP.
But if I try to reduce the lower page margin of the 'normal.dot'
template, Word will not allow this to be done below 2.26 cm - 'the
margin is set outside the printable area of the page'.
Also the 'normal.dot' template file can be found in the relevant
folder sometimes but at other times it is not listed in the folder.
Something strange going on here.

in Page Setup for each printer? Letter, or A4?

Sorry, hit the wrong key before finishing my request for
clarification.
In Word XP, the page dimensions (regardless of the actual document
template) are based on the paper size defined for the printer
driver... so if your default size is A4, then a template designed for
a Letter size sheet would spill over... and your margin settings are
similarly limited by the printable area defined by the printer driver.

I do not use letter size at all. The Word XP default size is A4 and
so is the Canon S520 printer default.
However, when printing a Word document, on the 'print' command the
printer Properties/Page Setup/Page Size window shows 'letter' and I
have to hit 'default' to get A4.
I don't know how to correct this, but as you imply, it may well be the
problem.

Sorry for the delay in responding, I was not online over the weekend.
Can I presume that the Avery labels are also A4 size? In my
installation of Word XP, I notice that the A4/A5 sized Averys are in a
separate listing from the "Avery standard" sizes.
This is indeed strange behaviour, because when using pre-defined label
templates, the page dimensions (and therefore the print settings) are
all associated and therefore cannot be edited. Therefore, it should
display properly on the screen, even if it does not print properly.
The fact that the printer settings are defaulting to letter instead of
the actual default of A4, implies that somehow Word believes that the
label sheet template is a letter one.
You can try taking the time and effort (as in trial and error) to
create a Custom template of your own for your most-often used label
sheets. This option is available through Tools> Letters and
Mailings... > Envelopes and Labels... > Options... > New Label.
However, this may not necessary solve your problem.
Can you please confirm for me that you are indeed using an A4-sized
label sheet, and that you are selecting the appropriate A4-sized
template?
