Perhaps I already know the answer to this question but perhaps there
is a workaround. Here is the scenario:

I create an excel spreadsheet on my home PC (Office XP w/epson printer)
The spreadsheet is set up to fit on (1) page.
I e-mail it to my office PC (Office 2000 w/HP printer)
When I open the spreadsheet - the last few rows are now on page two!!!

Now, I realize this may be a printer driver issue... but the
spreadsheets I created need to print on (1) page. I have not used
manual page breaks, only automatic page breaks dictated by the margin
settings.

Any thoughts?

Thanks

Hi Ionweb,

Personally I don't think that the printer driver has anything to do
with your problem. Since you're using two different brands, the cause
could be the difference in printer capability.

Try to set the bottom margin to .05 and set the header/footer to 0 and
see if this solves the problem.

If not, instead of using the "fit to page" feature, use the "adjust to
__% normal size" feature when you print on the HP printer. Please tell
me if it solved your problem.

Feilong,

I will try those suggestions and see how it works. I guess my
ultimate concern is what it will look like on the printing companies
printer... I can easily adjust page breaks on a machine that I am
working on - but I will have to rely on a clerk at the printing office
to print these pages out so I will have no control over the layout.
That is why I want to make sure that the page will remain on one page
no matter what computer/printer is being used.

Thanks for the input - will advise how the suggestion works ;)

Hi Ionweb,

Thanks for your reply. Print companies print material in a very
different way than your ordinary computer printer. Since your primary
concern is the final print output from the printing company, I suggest
that after you try the given suggestions on this page and if it
worked, you should also tell the printer to make sure that the page
will appear as you want it to be so that they know what to do.

Feilong

You didn't mention whether the printers are laser or inkjet, but
printers vary in the amount of margin needed, particularly at the
bottom of the page. I use a laser printer that can print up to 0.25"
from the bottom edge, but my inkjet needs a bottom margin of 0.67. So
if the spreadsheet has margins that are smaller than what one printer
needs, this could explain the problem. Try making the bottom margin
larger (that's assuming that you don't already have them set at 0.75
or more).

Another solution is to click File>Page Setup and on the "Page" tab,
select "Fit to" and choose 1 page wide by 1 page tall. This will
shrink the document however much is needed to fit on one page,
regardless of the printer.

I hope this helps!

Hi chicago25,

Sorry about that... both are inkjets.
Here are the margin settings:
Top: 0.5
Left: 0.5
Right: 1.25
Bottom: 1.0
Header and footer: 0.5 (but am not using either)

Have already tried setting "fit to page" and while it does work - it
shrinks some of the fields that are size-sensitive.

What I am doing is printing a manual. When I take it to the print shop
- I need to know that the margins/layout I set up will be what they
see when they use their printers. make sense?

Thanks for the input :)

Check the "Paper size" settings for the two systems. The home one may
be A4, and the office one US letter.

Paper size on both systems is set to letter (8.5 x 11)
I have actually run across this with other spreadsheets where spacing
has not been an issue - just this project needs to maintain proper
spacing. I may try adding forced page breaks but if it is the printer
driver that is forcing this issue - it may be a lost cause.

Excel has a "page break preview" mode (click View: Page Break Preview)
and you can drag the page break lines around to change which columns
appear on and off the page.

These settings may not save with the document (not sure?). So, I'd
try going to both computers, going into the page break preview, and
seeing what's reflected there. If necessary, you can adjust them and
see if it saves your changes (e.g. and reflects them on the other
computer/printer).

It may relate to installed fonts perhaps.

If it is the final printed format that is an issue, do one of two things:
1) Save it as a PDF
2) Copy the excel range and paste it into, say, Word, as a picture,
then print from there.
