I have word 2002. I am creating a company policy document. It will
consist of many sections. Each one will be reviewed by several
people. Then the entire document will be put together and will be
reviewed as a whole document. Then later on, we might want to add new
sections. How can I organize a word document that will meet my needs?
I only am familiar with creating one big document. Also, can I
publish my document to the compoany intranet using word? Will it
create directly html content, or will I need to edit it later?

Hello fwscholl~

As someone who?s organized large books on Word, here are my best bits of advice:

MULTIPLE DOCS
It's often helpful to use more than one Word document to organize a
large project. For example, each chapter or section may be an entirely
separate document. This can make it easier to organize and edit at a
later time. If the document will be printed, there?s probably no need
to combine documents. Just create a new file folder, label it, and
place each chapter or section inside of it, so it?s easy to manipulate
and find.

Later, if you decide you want all the information in one big document,
there are several options. One is to copy and paste one entire
document to another file. Better yet, you can use the INSERT feature.

INSERT FEATURE
To use the ?Insert? feature, open the main document, then go to Insert > File.
Choose the document you?d like to add to your main document. Voila! It
appears wherever your curser is.

ADDING SECTIONS
If, at a later date, it?s determined that another section should be
added to your project, you can either find the section in question and
add on, or simply create a new document.

For example, if you?ve formatted the document so that each new section
within a chapter begins on a new page, it?s easy enough to merely
typed up a new section and print it out.

MASTER DOCUMENTS
You may also use Word?s ?Mater Documents? feature to organize multiple
documents. To learn more about using Master Documents, see ?Creating
Long Documents Using Microsoft Word 2002,? which can be found in HTML
format, here: ://www.google.com/search?q=cache:oAnsBMFLkQgJ:www.dur.ac.uk/resources/its/info/guides/165LongDocsXP.pdf+managing+large+Word+documents+2002&hl=en&ie=UTF-8
This document also gives many other hints about managing long
documents in Word.)

USING TEMPLATES
If you do decide to make multiple documents, your task will be made
easier if you use a template.

To create a template, go to File > New. Choose ?General Templates?
under ?New from template.? Click a template you like, or one that is
similar to what you want. Click ?Template? under ?Create New? and then
click ?Ok.? Go to File > Save As. In the ?Save As? box, click
?Document Template.?

In this new template, alter anything you want, adding text and
graphics, changing margins, styles, and formats. Delete anything that
you don?t want to appear on all the documents. Click ?Save? and then
close the template.

ONLINE COLLABORATION
If you?d like instant reactions to what you?re writing, you might
consider using Word?s ?Online Collaboration? feature. Go to Tools >
Online Collaboration > Meet Now and fill out the appropriate
information, so that others can see your document on the company
server. This only works, of course, if the document *is* on the
company server, so you may need to speak with your tech guys at work
to ensure this is a viable option.

USING THE SEARCH FEATURE
When you have a document with lots of text, it can sometimes be
difficult to find just the spot you need. In such cases, Word?s
?Search? feature comes in handy. To use it to find a word or phase: Go
to File > Search, and type in the word(s) you want to find.

DOCUMENT MAP
If you?re using the ?Styles? feature on Word, you can easily see a
?map? of the document, which can help in organization and editing. Go
to View > Document Map. A window will open, showing the structure of
the document. You can move anywhere in the document by clicking on any
heading.

BOOKMARKS
If you want to mark a particular section of a long document, so that
it?s easy to find, use Word?s ?Bookmark? feature: Go to Insert >
Bookmark. To view your bookmarks, go to Tools > Options, and select
the ?View? tab. Check ?Bookmarks,? if it?s not already checked, and
click ?ok.?

HTML
It?s easy to turn your Word document into HTML. First, see how it will
look by going to View > Web Layout. Or, go to File > Web Page Preview.

Then, save your document as a web page: Go to File > Save As > Web
Page. I recommend that you first save your file as a document.

If you have multiple documents that you?d like all on one web page, do
the following: Place all the documents in one folder. Go to File >
New. Choose ?General Templates,? under ?New from template.? Click the
?other documents? tab. Double-click ?Batch Conversion Wizard,? and
follow the screen prompts.

Then, all you have to do is upload the saved web document onto your
company intranet, using whatever software your company provides.

BACK UPS
Always, always, always keep a backup copy of your documents! It comes
in especially handy when working on complicated projects that many
people will be viewing :)

Good luck!
