Question ID: 424842
We have 5 employees. We have microsoft outlook 2003. We don't have
exchange server.

1.Is there a way we can have a shared group calendar so that we know
each others availability? We would like to do this through outlook.
2. If we have private things going on, it would mark as unavailble but
not state why.
3. At the same time, it would be great if there was an online one we
could sync with and know our individual and group calendar when we are
away. If we have private things going on, it would mark as unavailble
but not state why.

We have tried Yahoo but when more than one person sync with it, things
start to go bad.

Thanks!

Hi cheaptrinkets-ga:

You can use the ability of Outlook to publish your Free/Busy times to
a shared folder so that all 5 employees can quickly use the Meeting
Request tool to determine whether the other employees are free or
busy. This approach will only show free and busy times, though, it
will not show details about what the other person's commitment is when
they are shown as busy. On the plus side, this capability comes for
free as long as you have a shared folder somewhere on your network
that everyone has read/write access to. If this is of interest to you,
I can provide you with instructions on how to set this up.

If you would like to have the ability to create a reliable group
calendar, then there are several programs available for purchase that
can meet your needs, with prices ranging from around $150 US on up.
So, what's your budget?

Thanks,

I've found an additional option for a purchased program that costs $50
US for five users; please let me know if $50 would be within your
budget.

I've been playing around with the trial version of the $50 option, and
unfortunately it looks like it will not meet your needs after all. It
enables a separate shared Calendar that will allow you and others to
post appointments that can be viewed by all licensed users of the
shared Calendar. However, what you are looking for is something that
can automatically monitor each individual's Calendar and display them
in a combined view. This package cannot do this. Can you advise what
your budget is, as I continue looking?

Thanks,
