The first point(no pun intended)to remember is: the video file
must be in the same folder that contains the Power Point presentation
file itself. This is imperative, be it run off a CD or the PC hard
drive. Images and graphics become incorporated into the presentation,
and don?t need to be in the same folder, but this is not so for video.
From there, you have two options:
1) Store the folder with the PowerPoint and video on a CD. This is
actually the preferred method, as most computer processors (CPU) are
much faster than CD drives, in processing the presentation, especially
video. Using the Package to CD process actually provides a Power Point
viewer, so the PC you use to present does not need to have Power Point
installed!
a.Transfer this folder to a PC/Laptop hard drive and run it.
i.You can transfer via a CD, a pen drive/flash drive, or
uploading it to a free online file storage site like
http://esnips.com/ , and download it to the second PC.
2) Run the presentation from a CD itself, following these steps for
packaging to CD. There are also graphical illustrations on the
following site, along with the complete set of directions, near the
lower half of the page.:
Package for CD
When you want to run a slide show on another computer, you can use the
Package for CD Wizard. The wizard packages together, on a disk, all
the supporting files including linked files. When you intend to run
your show on a computer that doesn't have PowerPoint installed, it
also packages the PowerPoint Viewer on the disk.
When you use the Package for CD option, you can set your slide show to
run automatically from the CD. You can also save the presentation to a
file on your hard drive instead of to a CD or zip disk.
To pack up a presentation for use on another computer, open the
presentation you want to save, and under the File menu, select Package
for CD.
In the Name the CD field type a name for the CD. Files linked to your
presentation and the PowerPoint Viewer are included to the package by
default. If you wish to change the default options, select the
Options... button.

Here are some other excellent tips. While from a medically oriented
site, it is great advice none the less:
? Have your presentation to at least two forms of storage media. This
will ensure disc corruption has less of a chance of ruining your big
day. With the price of computer hardware falling in the present
economic climate, storage of data has never been cheaper. Obviously,
accessibility to CD recorders and high capacity discs (Zip) depends
upon local circumstances either within work or at home.
? The greater the number of images, video clips and sound you utilise
within your presentation, the larger the file size of your overall
presentation.
? If you are relying on using a laptop provided by the conference,
ensure you are fully aware of the version of software used. Some
features of older versions of Microsoft PowerPoint may not have the
same dynamic features as PowerPoint XP
? When saving your presentation, images are embedded in the
presentation. Thus the presentation does not rely on searching for the
original image when the presentation is opened. However, this is at
present not true for video files.
? Ensure you save the original video file alongside your
presentation, otherwise the video will not run in your presentation.
