Quickbooks Pro 2004: I need to send my company file to someone but I
only want to send the the data going back to 1/1/2005 (i.e. I do not
want send data/transactions that occured prior to 1/1/2005).  How do I
save & send a file for a specific time period?

To make it more clear...I want to send all of our company records in
Quickbooks(from now back to 1/1/2005) to someone else so they can put
them into their Quickbooks system but I only want to send records
going back to 1/1/2005 & nothing before that.

If they just need the data and they are not putting it into QBP
themselves you can save as .RTF then edit out the info in a
WordProcessor:

To back up your Business Planner file:

   1. From the QuickBooks Business Planner File menu, choose Back Up.

   2. Verify, and change as necessary, the location listed in the Save in field.

   3. Verify, and change as necessary, the name listed in the File name field.

   4. Click Save.

   5. To save the file in .rtf format:

         1. From the QuickBooks Company menu, choose Planning &
Budgeting, and then choose Use Business Plan Tool.
         2. From the Business Planner File menu, choose Print Business Plan.
         3. In the Print Business Plan window, make sure all the
sections that you want to save are checked.
         4. Click Preview, and then click Export to open the file in
your default word processing program.

If you want them to be able to manipulate the data then create a report as such:

Answer: 	

Click the Modify Report button, located at the top of the report
window, to customize report features. You can change several report
elements at one time in the Modify Report window, though the
information available for customization will vary from report to
report. All of the options available on reports are listed below.

In the QuickBooks Modify Report window, you can customize the
following on the Display tab:

    * Dates: Select date ranges for specific reports.
    * Report Basis: Reports can be viewed on either an Accrual or a
Cash basis. Accrual-basis reports show income and expenses at the time
a sale is made or an expense is incurred, while cash-basis reports
show income and expenses only when the actual payment is received or
made.
    * Columns: Add and remove the columns of data included on a report
by clicking the items in the Columns box: A checkmark indicates
columns included on the report.
    * Totaling/Subtotaling: With most QuickBooks reports you can group
and subtotal data by time periods, list items, or other factors.
    * Sorting: Sort certain reports by Date, Amount ascending, Amount
descending, Document number, and Date/Transaction.
    * Comparing data from previous periods: In many QuickBooks
reports, you can compare the present report with the reports from
previous periods. Select the Previous Period or Previous Year checkbox
to view comparisons.
    * Advanced Options: Click the Advanced button to select your
reporting calendar, whether to include all accounts or only those with
activity within the selected dates, aging preferences, and to indicate
whether or not you would like to display All, Active, or Non-zero
activity in the rows and columns. (The Help button in this window
provides explanations for each feature.)
    * Revert: This button allows you to return to the default settings
for the report.

With QuickBooks, you can filter your data so that reports show only
the transactions that meet criteria you specify. To filter report
data, click the Filters tab inside the Modify Reports window.

    * To learn more about specific filters, select a filter from the
Filter box, and then click the Tell me more button.
    * When you choose a filter, there are usually additional specific
choices to be made. A drop-down list, entry fields, or certain options
may appear in the center of the window. Make specific selections for
each filter you choose.
    * If you choose Selected [information] from a particular filter's
drop-down list, QuickBooks displays the Select [information] window.
Choose one or more items, and then click OK to return to the Filters
window.

Once a report has been customized and filtered to your specifications,
you can memorize it for later use.

Important: When customizing reports, keep in mind how report filters
pull data from a transaction. Each transaction contains two parts:
where the transaction amount "comes from" and where it "goes to." For
example, when you write a check, the amount generally comes from a
bank account (also known as the "source") and goes to an expense
account (also known as the "target"). Often, the top part of an entry
form represents the source, while the lower part represents the
target.

If you filter a report to view source information, but it is only
designed to display target information, (or if you have conflicting
filters), you will not see the specific source information, or you may
not see any information at all.

For example, if you filter a report to view all your expense accounts
and enter a range of check numbers to see which checks affected the
accounts, the report will be blank. Check numbers are source
information, while expense accounts (on a check) are target
information. The filters conflict, and therefore, the report is blank.

Keeping source and target information in mind when filtering reports
can help you decide which filters to include so that you can see the
desired information on your report.

In the second part of my comment I have covered Report
Generation....from my reading this report would be savable and can be
read by other QBP users.
Am I wrong on this or did you think my comment was all on .rtf exportation?
