Question ID: 57662
Where can I find a sample of a letter announcing the addition of a new
dental associate to a dental practice? These letters are apparently
sent from specialty dental practices to general dental practices in
the hope of boosting the referrals that the general practice sends to
the speciality practice.

Hi khansen-ga,

I've found one on-line source selling this type of letter (as well as
a variety of others) as a template for $5. Is this acceptable?

No apparent free sources except for one generalized "Introducing
Dr..." which could probably be adapted for your specific need, which I
can throw in with my answer if you decide to go for it.

regards,

rico

Yes, I'd be willing to pay $5 for the template and am also interested in
the generalized letter. Thanks.

Okay, khansen-ga. If you follow the link below...

http://www.practicon.com/practice_mgmt/mgmt_description.shtml#letterto_patients

You should see, "Letter to Patients from Dentist/Owner to Introduce
New General Dentist Associate - $5" at the top of the page. You may
also be interested in the next item, "Letter to Area Health Care
Providers to Introduce New General Dentist Associate - $5" too.

There may be other forms you're interested in, too. I've found the
links on this site to sometimes not work (or work very slowly) under
IE 6. If you run into the same problem, the main link to the "Practice
Management Materials" is...

http://www.practicon.com/practice_mgmt.shtml

The Praticon site where these items reside looks to these
non-professional eyes as something that might be a useful online
resource for the dentist and his/her office. Their home page is...

http://www.practicon.com/index.shtml

As for the free generalized letter, please read this carefully first.
The link is to a Word document on the Web. Some Web browsers have
problems opening Word documents inside the browser. In general, if
you're using a recent version of Internet Explorer and have MS word
(or Office) installed, you should be open the document without
problem. If you do use the link, select "Save As" under the "File"
menu.

The link directly to the document is...

http://www.1000gems.com/FreeDocs/meetdr97.doc

Please forgive me if I'm going into exhaustive detail, as I don't know
your level of knowledge with this. I hate giving instructions that
might cause someone's computers to crash. :-) As an alternative,
here's the link to the "Menu" page for this document...

http://www.1000gems.com/FreeDocs/

If you scroll about 3/4s of the way down the page, you'll see a bullet
item titled, "Meet Dr. Tom Orent." If you're using a Windows mouse,
use the right-side mouse button to select "Download (meetdr97.doc
130kb)" and select "Save Target As" in the pop-up menu, and you'll be
able to save the Word .doc on your hard drive.

If I can be of further help, please let me know.

regards,

rico

Not really a clarification, but a follow-up. Your research was really
helpful. The Practicon site seemed to offer just what I needed, and I
ordered it, but I thought I would get the letter as a download --
and it appears they planned to MAIL it to me. I need it right away,
so I'm about to cancel the order. Just as a bit of background, I'm
a writer who was hired to write this type of letter for a client.
I've never done one before, so I wanted to see a sample. Thanks
for your work.

Let me go back and take a look. I was also under the impression that
you could download the letter as a PDF document (unless they planned
to email it to you) after the purchase. In any case, thanks for the
kind words, and, if we find out that the Practicon site is, ah,
"impratical", I hope the other letter wiull be sufficient.

Me again :-) Hope you get the opportunity to read this...

From the the "Practice Management Materials" "How to Order" FAQ

"To order, simply add the desired material(s) to your shopping cart by
clicking on the corresponding order link. Once your order is in the
shopping cart, you can proceed to checkout, or add additional products
to your cart. Once you are ready to checkout, please provide us with
your contact information. Your PDF document(s) will be sent to the
e-mail address that you enter in this section, so please verify that
this is the correct e-mail address. Your PDF document order must be
purchased on a credit card."

...so it will be sent to you by email. Hope you see this in time for
it to be useful.

regards,

rico

Yes, I saw those instructions, too, but not only have they not
sent my PDF file by e-mail, but they have not responded to my queries.
Don't know why it would take any signifcant time tos end a simple
PDF file. We'll see what happens.

Hmmm... Me neither. They look like a reputable site, and it's a
secure transaction. Hopefully, it's just some sort of glitch on their
side. Let me know what happens.

I had a little time, and I'm annoyed that my customer isn't getting
what you wanted, so I did one more generalized search...

http://www.writeexpress.com/announ20.html

Has some brief examples of general announcement letters that, again,
could probably be adapted to your needs.

I also found a low-rez letter example of a dentist announcing his new
practice at...

http://www.dentalproducts.net/xml/0204/pelehach0204/letter.jpg

As a writer (I'm one myself), you'll see that these (and the Word doc
I had noted earlier) all follow the same general opening, value
statement, and closing. It's really just how formal/informal you want
to make the tone, and whether there's something interesting about the
new associate (juggles toothbrushes while whistling "All I want for
Xmas is a new front tooth!") Hopefully, if Practicon doesn't respond
by your deadline, these will give you enough background.

rico

I'm extremely impressed that you would go to so much trouble for the
measly $15. You have more than earned it. Thanks again.

I'm really not doing an "after you, Alphonse", khansen :-) but I get a
big red notification notice at GA Central that won't go away until I
respond with an "answer clarification", whether it actually is a
clarification or not.

In any case, thanks again for your kind words, and, if you have a
moment, and are inclined to do so, I'd appreciate your rating my
answer(s), as that's one of the ways that the Google Editors,
mysterious beings that they are, measure whether our customers are
getting good service. Thanks again, and best of luck drafting your
letter!

The answer was excellent and well above and beyond the call of duty.
