I have a have a number of template letters which i use all the time
but need to fill data fields with different information e.g addresses
and acc numbers and want a simple low-cost product that allows me to
do that in the microsoft word environment. I don't have any
programming skills. There must be something out there that does this.
The data fields I need are unfortunately not those on outlook. Anyone
with a sensible suggestion?

Hello Ace007,

If you have the information (e.g., in a spreadsheet or another MS Word
file), it may be possible to do this without any extra software nor
programming. Would you like an explanation of a method to do that as
the answer?

In Word, the Mail Merge feature definitely allows you to select Data
Sources for the automatic insertion of addresses, I use it all the
time.

Word - TOOLS - (arrow down to open all options) - MAIL MERGE

I'm also certain that by using the Mail Merge Helper you can create a
new Data Source file for the account numbers as well. It's easiest if
you have the account numbers in a .XLS format, and insert a header row
for the mail merge to recognize (like: " account "  Then, in the MM
Helper, when you select "Data Source" (# 2 of 3 steps) --select
"Create Data Source" name the new source the same thing as you name
your Header Row in the file --" account " in my example.

Don't forget to "match fields" otherwise you won't see the results on the letter.

I really need a product that can load multiple template letters lets
say 100 and also lets me define and load the data to fill the data
fields on all the letters. At the moment for example we are typing a
organisations name and address into a template letter in word. The
ideal would be an interface where the user can select the organisation
and then select the template letter that needs to be sent to them and
the data required on that organisation to populate the letter has
already been loaded.It would be even better if the product let me
create the template letter through it and load the data as I go as
these are 1 by 1 letters not huge mailshots. The time problem is
locating the information to go in the letter quickly and then typing
in the info into the template letter. Takes about 15-20 minutes a
letter a real pain when your doing 20 a day. Especially when I only
really correspond with about 50 organisations.
 The Goldmine package on the market has this type of functionality but
is massive overkill for what I need but I like the way it works
through outlook.

Hi there,

       I dont know if you specifically want a "product". Or are you OK
with protecting the static parts of the letter template. Using this
method you just have the option of entering the information you need
and the other information is not editable on the document.
 
       You can try using the View --> Toolbar --> Forms option on the
letter templates and add text boxes for information that is different
on each letter. And protect the rest of the document.
