I am on the board of a missionary orphanage.

Currently, donations are made by individuals to churches, which then
forward the  money into a bank account. About 400 people are donating.
Lists of donators are printed and used to hand address thank yous, end
of year summary for the IRS, Christmas cards, newsletters etc.

I would like to know is there is a better way to:

accept the money, 
acknowledge receipt and include an envelope for the next donation, 
manage an email address book to send out newsletters, end of year summarys, etc.

This needs to be on online service or bank with various levels of access:

complete access to write checks and make deposits

make deposits only

limited  to see all information

limited to see some information

ability to write newsletters

limited to read and proof newsletters

limited to read newsletters

Most donators have email and for those that do not, I have used a
website called netgram.com that will receive an email, print it and
mail it.
