Our institution has a need for software if it exists. I'm thinking it
could be something like MS Outlook or Lotus Notes/Domino in that it is
an email/reminder/appointment program. What we need is something MS
Outlook as we know it cannot do. We need to have a public calendar
that can send corporate reminders to each member of the institution or
just a group within our institution. For example, when December 10th
comes each year, 17 people may get a reminder/tickler to begin to
complete certain forms, etc. Does this software exist? Perhaps it's
Lotus Domino, I don't know. Thanks in advance.

   Good day and thanks for your question. There are a number of
options you have for your requirements.

   joseleon-ga mentioned webcalendar in his clarification request.
lstein0 explained how you can achieve this in MS-Outlook. As far as
Lotus is concerned, the software you are looking for is Organizer,
which is a part of Lotus SmartSuite.

   I have used Organizer, and I'm sorry to say that it is not been
upto the mark, and hence I won't recommend it to you.

   You could explore the online option. The first site which comes to
mind is Yahoo! Groups (http://groups.yahoo.com). You can create a
group for each team in your institution. Each Yahoogroup has a
calendar, where one can enter events - date, time, duration, and
additional notes. He can also set a reminder for the same. Each member
of that particular group then gets an e-mail alert reminding them
about the event. A person can be a member of any number of
Yahoogroups, so a person belonging to more than one team is not an
issue.

MS Outlook can perform this feature, if configured properly. Here is
how:

- Make sure Outlook is on each users PC that would be receiving these
reminders.
- Make sure that each Outlook user has their calendar set to be
'public'. I think you do this in "Calendar Properties" but I cannot
confirm this as I have Outlook, but it is not on a network.
- Then, you can create a new "meeting request". in this dialog box,
there is a tab called "Scheduling". If you click here, you will see a
column for "attendees", this is where you would add the people, or
distribution list that you want notified of this event.
- Set a reminder for the event, and all of the attendees will be
notified.
- You can even attach the forms that you mention to this event.

I worked for a company a few years back, and we had set up our meeting
rooms as 'attendee names', and we would schedule our meetings this
way. It shows the calendar of the group, and will even help you find a
common time when everyone is available.

One caveat - since people's calendars will now be public, any personal
information on them, they would want to mark 'private' by right
clicking on the event. It's never popular to have your haircut
appointment posted on the company calendar.

Hope this helps. I also hope that maybe a network admin out there can
give you more specifics on setting Outlook for network use. Maybe even
your own can help you.
